Planning Meeting #1 - Plan database, establish goals, project timetables with managers. (includes telephone conversations) Plan and design field structure, reports, merge forms, toolbars, and security including departmental views.
Planning Meeting #2 - Develop Scenarios - Each Scenario is a complete set of strategies (automated processes) for a single product line or service. Scenarios must be for related products or services within a single application. Also includes designing scripts, scripting relationships with reports, and identifying data which will need to be imported from sources such as current database platform.
Alpha System Installation, integration and clean up. De-dupe database, establish users list and security rights. U.S. Infotel will install GoldMine and install to 's existing server. The administrator will work with U.S. Infotel during the process.
System Administrator training #1. Adding Users, Fields, Views & Lookups.
This is a critical phase. Following this training, the System Administrator will gather information from all departments (if any is still missing), add the fields necessary, review the field views with each department and obtain a list of all literature, forms and form letters required by each department as a prerequisite to the next training. It is imperative that the SA begins this work immediately. This reinforces the training and prevents a delay in the project. This work must be completed within 2 weeks of the training for the project to stay on schedule.
System Administrator training #2. Templates and Mail merge
This too is a critical phase. Following this training, the System Administrator will create the templates necessary to fax mail and email all forms, form letters literature, attachments, and enclosures for all departments. U.S. Infotel personnel will take the created documents and many of the existing documents and "link" these to the GoldMine System. The minimum requirement is the construction of all letters or forms as determined from Consulting Meeting
#2 to work in conjunction with templates. This work must be completed within 2 weeks of the training for the project to stay on schedule. Failing to begin and complete this on-site step and/or the previous on-site step is the most common cause in delaying a project
4. System Administrator training #3. Filters and Groups
How to create filters and groups necessary for correct reporting purposes.
This phase executes simultaneously with the preceding phase, however, it is done off-site under the more direct control of U.S. Infotel Corp. according to the notes taken at consulting meetings #1 and #2. It is our commitment to have this phase ready by the time the System Administrators complete training 1-3 and the development work associated with those trainings.
Create Scenarios - U.S. Infotel Corp. will develop discussed strategies under this proposal for .
Create Reports - Up to 5 Custom reports covering your most common sales situations. Reports that exceed the capabilities of the GoldMine Report Writer and require Crystal Reports are extra.
On-Site U.S. Infotel Corp. Installation, steps:
This phase brings together the construction done off-site by U.S. Infotel Corp. with the construction done on-site by U.S. Infotel and System Administrators into a finished product in the Beta stage, ready for final training and testing.
Beta System Installation. The Design Phase is Complete at this point. Additional design changes made after this point delay the project and add to the cost.
Create/Modify Database - Import data and "clean-up" data. Includes importation of records from existing compatible sources, but does not include manually entering records from documents. Imports must be from sources natively compatible to GoldMine. is responsible for getting data out of legacy systems into a format natively compatible to GoldMine, such as ASCII text, dBase, etc.
